Book-Keeping & Administration Assistant

We have an exciting opening in our office team for a Book-Keeping & Administration Assistant. It’s not often that opportunities to work within the office arise, so this is a rare chance to come and join our friendly team to help with the day-to-day running of the Centre.

Clwyd Special Riding Centre is a registered charity located in Llanfynydd nr Wrexham. The Centre provides life-changing equine assisted therapy activities to children and adults with a wide range of disabilities and additional needs, including mental health and well-being.

Salary: National Minimum Wage (relevant to age).

Part-time: 24 hours per week between 9-5pm Mon-Fri

ROLE DESCRIPTION:

MAIN DUTIES AND RESPONSIBILITIES:

  • Administrative/secretarial work to ensure the smooth running of the charity’s office.

  • Answering the telephone and relaying messages.

  • Dealing with face-to-face and email enquiries.

  • Ordering of office and site supplies.

  • Book-keeping: raising invoices for sessions and facility hire.

  • Liaising with contractors for annual servicing of equipment.

  • Taking of facility hire bookings and invoicing.  Working with the team to plan and organise the facility hire.

  • Responding to new participant enquiries and referrals, and the processing of applications.

  • Updating and maintaining databases using Excel; and Beacon, our Customer Relationship Management (CRM) platform.

  • Providing office support to the wider team for events which take place internally and externally.

  • Undertake additional duties as determined by the Centre Managers.

Book-keeping tasks:

  • Raising invoices for all sessions, facility hire and holidays.

  • Overseeing the Xero finance system.

  • Paying bills via BACs and Xero.

  • Banking.

ESSENTIAL SKILLS:

  • Proven experience in an Administrative Assistant role, and a book-keeping role. This is a fast-paced role that requires commitment and a willing to learn.

  • Excellent administration and IT skills. (Proficient in using Word, Excel, Outlook.)

  • Proven ability to work to a high standard at all times.

  • Able to work well under pressure.

  • Able to plan and prioritise work effectively.

  • Able to be adaptable and flexible to the needs of the charity.

  • Able to work within given policies and guidelines.

  • Knowledge of GDPR and need for confidentiality.

  • Able to work effectively alone and as part of a team. 

DESIRABLE SKILLS:

  • Knowledge of Xero accounting software.

  • Ability to communicate through the medium of Welsh.

  • First Aid Certificate (training available).
